Out of School Club

The Out of School Club (which refers to the After School Club during the term time and the Holiday Club during the school holidays) started thanks to popular demand from parents and friends of Gwendolen House Nursery who requested after school care and holiday activities for their children once they made the transition from nursery to school.

Gwendolen House Nursery was set up in 2004 with the aim of creating a ‘home away from home’ for infants, toddlers and pre-school children where they would be cared for in a welcoming environment, enjoy interesting and stimulating activities, freshly cooked food and explore the lovely garden and outdoor spaces of the nursery.

The Out of School Club is the natural next step for Gwendolen House where children of school age, up to the age of eleven, can benefit from the same ethos - an afternoon tea, ‘chill-out’ time and supervised homework time provide a similar structure to an “at home” routine.

The After School Club: An Overview

• At the After School Club children will benefit from:

- Being collected from schools which are a short walk from St. John's Hall, Ravenna Road;

- Afternoon tea provided by our in-house chef, Dwayne;

- Supervised homework time;

- ‘Chill-out’ activities – after a hard day at school ‘downtime’ is very important. Children can relax and enjoy both the indoor and outdoor environment of the nursery.

• Opening Times:

- The After School Club is open during relevant local schools’ term dates (exclusive of half term holidays).

- Opening times: Monday to Friday – school finishing time to 7pm.


The Holiday Club: An Overview

• At the Holiday Club children will benefit from:

- Chef prepared breakfast, lunch and dinner (or packed lunch if children go on an outing).

- Structured social, creative and outdoor activities and outings.

- Diverse themed activities which change weekly.

• Opening Times:

- The Holiday Club is open during relevant local schools’ holiday dates.

- Opening times: Monday to Friday 7.30 am to 7pm.

- Drop off time is between 7.30 – 9 am and collection time is by no later than 7 pm.

Admissions and Fees
• How are places allocated?

Every academic year places are allocated with priority given to those children attending on a full term basis then the greatest number of sessions and taking into account the following order of priority:

1. Gwendolen House alumni with siblings;
2. Gwendolen House alumni; and
3. Non Gwendolen House alumni.

School terms vary from school to school. Is there any adjustment to fees to reflect this?

Yes, termly fees are charged to reflect the different length of school terms. Please let us know which school your child attends and we will send you the relevant termly fees.

How do I find the information of fees and availability of sessions?

Please e-mail us at info@gwendolenhouse.com  advising us of:

1. the name and age of your child;
2. the school that your child attends;
3. whether you are booking for the After School Club or the Holiday Club; and
4. the dates and the sessions that you are wishing to book.

When are fees payable?

Fees are payable at the time of booking in order to secure a place and, in the case of termly bookings, two months prior to the start of the each term.

Making A Booking

How do I book my child into OSC?

Send an e-mail to info@gwendolenhouse.com with details of the sessions that you are interested in (and please see Admissions and Fees section above). If we are able to offer you a booking then you will need to sign and return to us a Parental Agreement (this only needs to be done with the first sessions booked) and pay the relevant fees due.

• How much notice do I need to give if I want my child to start?

Places are limited so, to ensure a place for the dates and sessions that you prefer, it is best to make a booking as early as possible.  Also, the fees are discounted for early bookings. However, if places are available, ad hoc sessions may also be booked.

Can I book different days each week?

This may be possible, depending on availability. Let us know your requirements when booking. However, please look at the section above on the order of priority for the allocation of places.

• Can I add extra days?

Yes, depending on availability of sessions, we will do our best to fit you in at short notice.

Amending or Cancelling a Booking
• How much notice do I need to give to cancel a booking?

For the After School Club, if you have booked on a termly basis, you must give us at least two month notice prior to the start of the relevant term in order to have a full refund.  A refund will not be possible for any cancellations where a shorter notice period is given.

• Will I get a refund if I cancel?

As long as cancellation is within the notice period (please see above).

Can I get a refund for inset days?

Refunds are not available in these circumstances.

• Can I get a refund if my child is absent from school due to illness or holiday?

Refunds are not available in these circumstances.

• What do I need to do if I wish to change the odd day?

Contact us at info@gwendolenhouse.com as soon as possible and we will see if we are able to accommodate your request.

• What do I need to do if I wish to change my booked sessions?

We require two month’s written notice prior to the relevant term that you wish to change your child’s sessions for. In such circumstances any changes are at the discretion of the Nursery, having regard to requests for places on our waiting list and taking into account the order of priority for allocating places as set out above.

At The Club

• What will the children be doing at the Out of School Club?

The children are given afternoon tea and time is divided between homework and ‘chill out’ activities which include; reading, arts and craft and outdoor sports. Please also refer to the overview sections above or contact us at info@gwendolenhouse.com  to arrange for a show round visit.

• What will the children be given to eat?

The children will have the same tea (a light meal) as is prepared for the remainder of the nursery by our chef, Dwayne. Our menus are available to view on the Gwendolen House website. Kindly advise us if your child has any special dietary requirements due to allergies or for religious reasons.

• What happens if I'm late picking up my child?

Please contact us if you are running late so we can inform the staff looking after your child. It may be necessary to pay any staff who are kept waiting after 7 pm a “baby sitting” fee of £5 per 15 minutes to each member of staff. Kindly note that we will need to keep two members of staff onsite until all children have been collected.

• Are the staff at the Out of School Club police checked?

All staff are CRB checked.

• How will my child get to the After School Club?

All schools that we collect children from need to be within walking distance to Gwendolen House. Staff will supervise the walk to the nursery.

• When can I collect my child from the After School Club and who can collect my child?

The after school club runs from school finish time until 7.00 pm and you can collect your child anytime between these times. If you are unable to collect your child, you need to have advised us in writing by e-mail to info@gwendolenhouse.com in advance of the people who are authorised to collect you child and to have provided us both with your secret password.

• Do I need to provide drinks and snacks for my child?

No, when your child arrives at the After School Club we will provide them with afternoon tea. Drinking water will always be available in the room.  Due to some children having allergies, we request that food and snacks are not brought into Gwendolen House by the children.

• Will the children require any special clothing?

Please ensure that your child brings appropriate clothing for messy indoor and outdoor activities. It is best if they change out of school uniform. Please include sun cream and a sun hat during warmer days, or warm clothing and a waterproof when the weather is cooler and more variable.

• What are the adult to child ratios?

When the children are being walked to the nursery they will usually be with one member of staff. When on the premises, there will be up to twelve children in the Out of School Club at any one time, supervised by at least two members of staff.

• What if my child requires medication whilst at the OSC? 

The staff are only able to administer prescribed medication. If your child is likely to require prescribed medication of any sort whilst attending the OSC, you must ensure it is handed over to nursery manager prior to your child's attendance  and that you sign and complete the OSC Medicine Book.

• Can I use Childcare Vouchers? 

You are able to use Childcare Vouchers for the Out of School Club.

• How can I see a copy of the OSC’s Policies and Procedures?

These are the same as for the Nursery and you are able to view these on the website. Please send us an e-mail at info@gwendolenhouse.com if you wish these to be sent to you.

• Who do I contact?

o Book your child into the OSC club;
